Privacy Policy

Refer Pilot is referral rewards software for local service businesses such as roofing, HVAC, cleaning, landscaping and pest control companies. This policy explains what data we collect when a business uses Refer Pilot, and what happens to the information their customers submit through a referral link.

• Account information. The name, email address and business name used to create an account, plus your referral program settings (default reward amount, brand details).
• Customer records you enter. Names, email addresses and phone numbers you add for your own customers so they can receive a personal referral link.
• Referral submissions. The name, contact details and job description a referred lead enters on your public referral page, along with which customer referred them.
• Basic technical data. Standard server logs (IP address, browser type, timestamps) used to keep the service secure and available.

We use this data only to operate the service: authenticating your account, attributing new leads to the customer who referred them, tracking whether a job was won, calculating rewards owed, and showing you your dashboard. We also use your email address to send account and service notices.

We do not sell, rent or trade account data, customer records or referral submissions. We do not use your customers' contact details for our own marketing. Data is shared only with the infrastructure providers required to run Refer Pilot (hosting, database, email delivery) and only to the extent needed to provide the service, or where required by law.

Data is stored in a managed cloud database with encryption in transit over HTTPS. Access is restricted per business account with row-level security rules, so one business cannot read another business's customers, referrals or rewards. Privileged actions are validated on the server against the signed-in account.

We use only the cookies and local storage needed to keep you signed in and to remember basic interface preferences. We do not use advertising or cross-site tracking cookies.

We keep your data for as long as your account is active. You can delete individual customers, referrals and rewards from within the app at any time. To delete your whole account and all associated records, email us and we will remove it, along with backups on our normal rotation schedule.

You may request a copy of your data, ask us to correct it, or ask us to delete it. If a referred lead asks to be removed, the business that received the referral can delete the record, or you can contact us and we will assist.

If we make a material change to this policy we will update the date above and, where the change affects how your data is used, notify account holders by email.
